Operating Model
How we operate
On appointment, we conduct a full compliance audit of the building, identifying all outstanding certificates, overdue inspections, and documentation gaps.
All statutory obligations are entered into our compliance register with due dates, responsible parties, and notification triggers. Clients have read access via the portal.
Inspections and renewals are instructed 90 days in advance of expiry. Contractors are vetted, appointed, and their own compliance (insurance, accreditation) verified.
All certificates and reports are uploaded to the portal within 5 working days of receipt. Certificates are linked to the relevant building system and asset register.
Any compliance failure or building safety event is escalated to the client within 24 hours. A remediation plan is produced within 5 working days.

Every action within our operating model generates an audit trail. Documents, correspondence, contractor instructions and financial transactions are all logged, timestamped, and accessible by authorised parties via the portal.

Frequently asked questions
What is a building safety file?
Under the Building Safety Act 2022, higher-risk buildings (18m+ or 7+ storeys) must have a building safety file containing information about the design, construction and ongoing maintenance of the building. Praesidius manages this on behalf of the Accountable Person.
What happens if a certificate expires?
Our system triggers renewal at 90 days before expiry. If a certificate cannot be renewed before expiry for any reason, we notify the client immediately and produce a risk assessment and remediation plan.
Do you manage fire risk assessments?
Yes. We instruct BAFE-registered fire risk assessors to conduct annual reviews. Actions arising from the FRA are entered into our compliance register and tracked to completion.
How do leaseholders access compliance information?
Relevant compliance certificates (FRA, building safety summary, EPC) are published to the Leaseholder Portal. Leaseholders can access these at any time without making a written request.
